Job Overview

Our Hyde Park facility is seeking a professional, well-presented and highly organised Receptionist to join our Front Office team. The successful candidate will serve as the first point of contact for clients and service providers, ensuring a seamless front-desk experience while supporting daily administrative and operational functions of the practice. This role requires strong communication skills, attention to detail, discretion, and the ability to work efficiently in a fast-paced medical environment.

 

Key Duties & Responsibilities

  • Welcome and professionally assist clients and visitors
  • Manage appointment bookings, confirmations, cancellations and rescheduling
  • Coordinate practitioner diaries and consultation room allocations
  • Answer, screen and direct incoming calls promptly
  • Respond to email and WhatsApp enquiries where applicable
  • Maintain accurate and confidential client records (manual and electronic)
  • Capture and update patient information on practice management systems
  • Prepare daily client lists and ensure files are ready for consultations
  • Verify client details and medical aid information prior to appointments
  • Assist with invoicing, receipt issuing and payment processing
  • Support medical aid submissions and follow up on outstanding balances
  • Manage petty cash responsibly and reconcile daily receipts
  • Maintain stock levels of reception and office supplies
  • Ensure reception and waiting areas remain clean, organised and presentable
  • Assist with scanning, filing, reporting and general administrative tasks
  • Escalate urgent client concerns to clinical or management staff
  • Support compliance with confidentiality and POPIA requirements
  • Provide administrative support to the Executive Assistant and clinical team

Candidate Requiremnts

  • Matric / Grade 12 (mandatory)
  • Relevant Diploma or Degree (advantageous)
  • 1–3 years’ receptionist experience (medical environment preferred)
  • Computer literacy (MS Word, Excel, Outlook)
  • Experience with appointment booking systems (advantageous)
  • Strong verbal and written communication skills in English
  • Professional appearance and telephone etiquette
  • High level of confidentiality and organisational ability
  • Ability to multitask and perform well under pressure
