Job Overview
Our Hyde Park facility is seeking a professional, well-presented and highly organised Receptionist to join our Front Office team. The successful candidate will serve as the first point of contact for clients and service providers, ensuring a seamless front-desk experience while supporting daily administrative and operational functions of the practice. This role requires strong communication skills, attention to detail, discretion, and the ability to work efficiently in a fast-paced medical environment.
Key Duties & Responsibilities
- Welcome and professionally assist clients and visitors
- Manage appointment bookings, confirmations, cancellations and rescheduling
- Coordinate practitioner diaries and consultation room allocations
- Answer, screen and direct incoming calls promptly
- Respond to email and WhatsApp enquiries where applicable
- Maintain accurate and confidential client records (manual and electronic)
- Capture and update patient information on practice management systems
- Prepare daily client lists and ensure files are ready for consultations
- Verify client details and medical aid information prior to appointments
- Assist with invoicing, receipt issuing and payment processing
- Support medical aid submissions and follow up on outstanding balances
- Manage petty cash responsibly and reconcile daily receipts
- Maintain stock levels of reception and office supplies
- Ensure reception and waiting areas remain clean, organised and presentable
- Assist with scanning, filing, reporting and general administrative tasks
- Escalate urgent client concerns to clinical or management staff
- Support compliance with confidentiality and POPIA requirements
- Provide administrative support to the Executive Assistant and clinical team
Candidate Requiremnts
- Matric / Grade 12 (mandatory)
- Relevant Diploma or Degree (advantageous)
- 1–3 years’ receptionist experience (medical environment preferred)
- Computer literacy (MS Word, Excel, Outlook)
- Experience with appointment booking systems (advantageous)
- Strong verbal and written communication skills in English
- Professional appearance and telephone etiquette
- High level of confidentiality and organisational ability
- Ability to multitask and perform well under pressure
